Share folders or documents to guest

Log in to the Kotopro interface. Open the folder or document that you want to share to guest.

At the top of the folder or document is a link “Manage sharing”


Click the link and then a new window opens:


Enter the e-mail address of the guest in the field (invite participants with email address…) or choose the email of the user from the list. 

After entering the email address, press the text below the field “Add participants with email address” , where the system will save the email address in the above field.

After entering email address, you can select the language in which the registration invitation will be sent from the language menu. Set expiration date - also allows you to set a time limit for how long the shared item is shared to the user.

View - guest can read the folder or document, print PDF and sign if signer is set. 

Edit - guest can make changes to the document or documents below folder.

Manage - guest can make changes to the document or documents below folder, add new documents to shared folder, share folders and document with edit or view rights.


When you have set guest account someone, they will have a personal user interface on Kotopro. The Personal interface only displays shared folders or documents.

If you later share the same user to use another folder or document, this will appear in the user interface that they is using. The user will not be notified of this by email unless you keep send notify -checkbox active.

For the first time when you share items with guest, they will receive an email invitation to sign up from Kotopro-service. The email contains a link to the Kotopro registration page. An guest can then create a username and log in to Kotopro.

If an guest does not receive an email from Kotopro, you should check that the email is not directed to the spam folder. Frequently, an email filter sets e-mails that have been sent from a server and contain an internet link to a page as spam. Although the Kotopro server has a trusted certificate, sent emails can be redirected to the spam folder from the recipient’s email server.

You can check / delete restricted users by going to 1. "ADMIN" ---> 2. "USERS" ---> 3. "GUESTS". Here you can delete unnecessary guests and see who you have set as a guest.
